Sunset Tours Terms and Conditions
By making a deposit with Sunset Tours you are consenting to have read, acknowledged, understood, and accepted the following terms and conditions:
Reservations:
A deposit is required upon time of booking to reserve your spot. Deposits will vary by tour. Final Payments of remaining balance will be required 60 days prior to departure, unless otherwise specified. Deposits are Non-Refundable.
Declined Credit Cards:
If the authorization on the credit card provided is declined, we will attempt to notify you in a timely order by email and/ or the phone number provided to us. If a credit card is declined the reservation will be cancelled and will need to be rebooked depending on availability. Sunset Tours will not hold or reserve spots upon awaiting payment.
Rates/ Pricing:
Tour rates are calculated based on transportation fares, accommodations, fuel rate, exchange rate and other necessary factors. We will ensure every effort is made to maintain tour rates however should these fees increase Sunset Tours reserves the right to increase pricing at any time it becomes necessary. In the event of a price increase Sunset Tours will provide you with the necessary update regarding such tour rates.
All pricing is shown in CANADIAN FUNDS.
Cancelation/Alteration to Booking Penalties:
Cancellations received less than 60 days prior to the scheduled trip where the balance has been paid in full is non-refundable.
Booking change fee:
All reservations for bus tours are completely transferable. If you cannot attend, transfer of your seat is available. A transfer can be made more than 60 days prior to departure without penalty or any administration fees. You are responsible for finding a replacement for your reservation.
If requested changes are made 30 days or less of departure, any change to each individual booking is subject to a $25.00 administration fee (including HST).
Cancelled Tours:
Occasionally the minimum number of passengers on a departure tour cannot be fulfilled.
If there are not enough people to complete a trip and we need to cancel a scheduled tour, we will inform you 10 days in advance.
In the event of a cancellation a full refund will be returned to each passenger. Return of payment will be given in the same form it was submitted.
Schedule Changes:
It is our goal to provide outstanding service, and to operate and maintain each trip as described on our itinerary. Sunset Tours reserves the right to make any changes or adjustments to enhance the tour itinerary, or if circumstances beyond our control arise and mandate it
necessary to make alterations as we see fit. We ensure to provide every effort to obtain an alternative and no liability should be incurred by these efforts.
Sunset tours have arrangements with other companies such as hotels, transportation services, restaurants, and places of business to provide the services listed on your itinerary. We cannot be held liable for the services offered by second parties or anyone other than Sunset Tours employees.
Insurance:
Emergency Medical insurance is recommended when travelling outside of Canada. If you do not have existing coverage in place, we strongly recommend that you purchase prior to departure.
Travel Documents:
Passports are required for all travel outside of Canada. Passports must be valid past the date of return to Canada. It is the traveller’s sole responsibility to ensure that all travel documents are valid and up to date for travel.
Us immigration requires that all travellers have a passport (Nexus or EDL cards).
Sunset Tours will NOT BE responsible for passengers denied access to any country or for reentry into Canada. If you are denied access to the USA, sadly we will have to leave you at the border and continue our tour. If you are denied entry no refund will be available for the purchased tour. Sunset tours are not responsible for finding transportation back home should you be denied entry.
Baggage Handling:
One large suitcase weighing no more than 20lbs is permitted for all bus tours. Each suitcase will be tagged with a personalised Sunset Tours tag for easier handling at the hotel.
One small carry-on per passenger is permitted and can be placed in the overhead racks above your scheduled seats. You are responsible for the handling of any carry-on luggage.
Although Sunset Tours will ensure every effort is made to handle all luggage as carefully as possible, we cannot assume liability for loss, left, or damage to any personal belongings.
Free Accommodations for out-of-town Travellers:
For multi-day tours, we are pleased to offer complimentary overnight accommodations prior to the First day, of 100 km away, if you travel more than 150 km we provide before one night and one night back too; This is specifically for our clients traveling from or more. This is ideal for those who wish to drive their car to the hotel one day in advance to be refreshed, relaxed, and ready to start the tour the following day.

Responsibility/ Liability:
Sunset Tours assumes no responsibility for the following but not limited to any claim, loss, damages, costs, or expenses arising out of personal injury, accident, death, loss, damage, delay, inconvenience, loss of enjoyment, upset or distress, whether physical or mental.
It is expressly understood and agreed between Sunset Tours and the passengers.
Please note if any personal items are left within the bus during the tour the bus driver is not responsible for delivering the item to the individual traveler when off duty.
If a personal item is left behind at the end of the tour it is the traveler’s responsibility to claim said item. A description of the item to ensure appropriate retrieval is required. The traveler will sustain all responsibility for the return of the item including the cost of shipping. Sunset tours will not be held liable for damage or lost package/s.
Seat assignment:
All seats are assigned by Sunset Tours. Seats are assigned on a first come first serve basis. The seat scheduled to each passenger will remain the seat for the duration of the trip. Seat changes will not be permitted once a tour has commenced.
Please note that changes to seating arrangements due to COVID19 are possible based on recommended health regulations. Changes and scheduling of seating will only be approved by your tour director.
Not included:
Please note that all items of a personal nature such as room service, beverages, telephone charges, laundry, special food requests and meals that are not specified and included in the tour is the passenger’s responsibility and must be paid.
Sunset tours will not be responsible for any balances or charges made by any individual.
Smoking:
Smoking and the use of e-cigarettes is prohibited on our coach. Frequent stops will be made throughout the trip to accommodate. Although we will request smoking rooms at hotels upon request, more and more hotels are becoming 100% non-smoking. We are not always notified of this and therefore cannot guarantee the availability of smoking rooms.
We apologize for any inconvenience this may cause.
Cannabis:
Cannabis in any form may not be transported on any Sunset Tours coach tours. Noncompliance will result in removal from the scheduled tour with no refunds given.
It is illegal to take Cannabis across the border or to transport out of the country.
Food and Drink:
Non-alcoholic drinks are permitted on the coach bus. We kindly ask that you refrain from bringing items that are not peanut free in consideration for other passengers who may have allergies. We ask that you respect the bus and place all garbage in designated areas.
Please note that restrictions on food can be made at any time as per your tour guide.
Photography:
Sunset Tours reserves the right to take photos and use photography for promotional purposes.
Fragrances:
To be considerate to your fellow passengers, we kindly ask that you please refrain from using cologne and perfume while riding the coach.
Gratuities:
Tipping for tour directors, and bus drivers are a great way to show your appreciation for a job well. Tips should be presented in local currency at the end of each trip.
Single Travel:
Travelling alone? Talk to us about obtaining a roommate of the same gender and take advantage of our double occupancy rates.
If we are unable to assign you a roommate upon request, we pay the single occupancy surcharge.
Should you wish to have your own private room, you are responsible for paying the single occupancy surcharge.
Travelling with Children:
Trip costs are the same for a child as they are for an adult. Allowed ages vary depending on the trip.
Bed Configuration:
Single: 1 Person – 1 Bed
Double: 2 Person- 1 Bed
Twin: 2 Person- 2 Beds
Triple: 3 Person- 2 Double Beds
Quad: 4 Person- 2 Double Beds
Acts of God:
Sunset Tours cannot assume liability for any loss, damage, or injury of any nature resulting from an act of God or any other force Majeure condition such as but not limited to disease, pandemic, fire, volcanic eruption, inclement weather, flood, tropical storms, hurricanes, riots, civil movements or disturbances, labour disruptions etc. To the best of our ability, we will do our best to provide restitution for the parts of the tour affected but Sunset Tours does not accept liability for circumstances outside of our control and does not guarantee refunds.
Any additional costs in result of cancellations, delays of tour based on inclement weather, acts of God or any other events resulting in one or more persons being able to continue or complete the set tour including missed connections and/or late arrivals is the responsibility of the passenger. It is agreed that an increase in cost accompanied by such change shall be paid in full by the passenger. If any costs decrease by the change will be refunded to the passenger.
Our Responsibility:
At Sunset Tours we take the safety and well-being of each passenger seriously. We strive to ensure each tour is comfortable, exciting, and safe.
Sunset Tours reserves the right to reject any person as a member of the tour at any point before, or during the tour should such a person’s behaviour or presence be detrimental to the comfort, wellbeing, and enjoyment of other members of the tour.
No refund shall be given should any person behave in a disrespectful manner, placing the bus driver, tour guide, or other passengers in harm’s way.
The tour director reserves all rights to make any changes should he/she see fit before or during the tour for the comfort, enjoyment, and safety of all passengers.
Sunset Tours is equipped with drivers with exceptional experience alongside tour guides who are credited and possess the knowledge to execute a phenomenal tour.
We love what we do, and we take pride in being able to be a part of the memories you create as a family or with your friends. We have been so lucky to be able to call many of our returning passenger’s family as they join us on our next adventure.
Travellers’ responsibility:
It is your responsibility to inform Sunset Tours of any mobility issues, or special assistance that is needed during your trip at the time of booking.
Mobility aids, the use of oxygen tanks, and any dietary restrictions should be noted at the time of booking so that we can inform you if we can adequately accommodate your needs.
Discrimination towards any fellow passengers, tour guide, or bus driver will NOT be tolerated.
Due to COVID19 all passengers must wear a facemask on the coach and continue to abide by the rules of the attractions and locations that they are visiting. Masks must be worn appropriately at all times. It is recommended that you provide your own sanitizer during the course of your tour.
Failure to follow the rules and guidelines instructed province or country-wide may result in denied entry to such activities, and attractions scheduled during your Tour.
Sunset Tours is not responsible for your failure to comply and will not issue any refund.
The MCI Coaches:
MCI Coaches are ideal for embarking on luxury trips both short and long, providing exceptional comfort throughout your entire excursion. The spacious cabin allows seating for up to 55 passengers with reclining seats and onboard restrooms. In addition, MCI Coaches come with many upgraded amenities such as: climate-controlled cabins, air conditioning & heating, TV monitors with DVD access, high-speed WIFI, and a PA system for easy communication. Storage compartments are also available above each seat, for easy carry-on storage and access.
